Features

Everything an agency owner is actually buying.

Ava on the website, a scored lead on the desk, a discharge case when someone is coming home from the hospital, a consult on the calendar, a transcript on the file, an export into the AMS you already run. Phone answering is not in this version.

Ava will

  • Explain approved services and where you provide care
  • Collect family name, phone or email, city, recipient, needs, hours, and start
  • Act as a virtual health care liaison for hospital, rehab, and SNF discharges
  • Take referrals from discharge planners and social workers
  • Screen service area against licensed states, cities, and ZIPs
  • Score the inquiry and place it on your desk
  • Offer consultation times during office hours when booking is on
  • Route emergencies to 911
  • Hand the full transcript and a non-medical checklist to your coordinators

Ava will not

  • Diagnose, dose, or give medical or medication advice
  • Act as a nurse, hospital employee, or skilled-nursing service
  • Access hospital records or invent insurance eligibility
  • Invent prices, licensing, or coverage
  • Promise that a caregiver is available
  • Make a care decision or a hire/fire decision
  • Answer the telephone — that is not in this version
  • Claim HIPAA because a page uses HTTPS
  • Replace your office staff

What families get

A 24/7 AI intake coordinator on your website. Not a phone receptionist. Not another portal they have to join.

24/7 website intake

Ava answers families on your site after hours, weekends, and holidays. She is a website intake coordinator — not a phone receptionist yet.

Virtual health care liaison

Ava coordinates hospital, rehab, and SNF discharges: family coming-home conversations and professional referrals, with a non-medical checklist on the desk.

Customizable Ava knowledge

Approved FAQs, services you do and do not offer, cities, hours, payment types, and what she must never say.

Lead qualification

Name, contact, city, recipient, needs, hours, and start date — structured, not a free-form voicemail.

Service-area screening

You pick licensed states. Coverage is statewide or listed cities/ZIPs. Ava checks city, state, and ZIP — including inferring the state from a ZIP — and never invents that you serve somewhere else.

Office hours

Ava is awake 24/7. Booking only offers times your office is actually open, plus buffers you set.

Customizable services

Companionship through live-in care — plus a list of what you do not offer, so Ava does not over-promise.

Branding

Agency name, greeting, and public family page. The See Your Agency preview shows how that looks before you go live.

Emergency language

If someone is in immediate danger, Ava sends them to 911. She is not an emergency medical service.

What coordinators get

A scored card, a transcript, a consult on the calendar, and a way to call or text without hunting through voicemail.

Discharge planner referrals

A two-minute form for social workers and case managers. No hospital login. The case lands on the liaison desk with family contact and discharge timing.

Lead scoring

Hot, Warm, Cold, or not a fit. Scoring uses urgency, hours, and service area — never protected characteristics.

Consultation scheduling

Open office-hour slots in chat. Booked times land on your FrontLineLove calendar. Download an .ics for Google or Outlook.

Full conversation transcript

Every family thread is stored on the lead. Coordinators read the summary first, then the transcript.

Callback requests

Families who want a person are flagged on the desk for morning follow-up.

Staff notifications

Hot leads hit the dashboard immediately. Email and SMS stay queued until a carrier is connected. Slack/Teams is not live yet.

What owners get

A private workspace, roles, analytics, and an export into the AMS you already run.

Calendar

Native consultations, reschedule, cancel, blocked times. Google Calendar and Outlook two-way sync are coming; .ics export is live.

CRM / export

Native CRM plus HMAC-signed webhook and CSV toward WellSky Personal Care, AxisCare, AlayaCare, and the rest. No fake AMS login.

User roles

Owner, admin, and staff. Permissions are real — a staff seat cannot change billing.

Agency workspace

Each company is its own tenant. Leads, transcripts, and knowledge never cross agencies.

Multiple locations

Growth covers three. Multi-location is contracted. Version one books against the agency calendar you configure.

Analytics

Inquiries, after-hours share, consult rate, win rate, score mix, lead source, and estimated value from the rates you entered.

Notifications

When Ava finds a HOT lead, the desk hears it.

How you are notified

  • DashboardLive

Hot cards appear on the desk and in the notification bell immediately.

  • EmailQueued

Turns on when a transactional email provider is connected. Until then the alert still lives on the desk.

  • SMSNot live

Ava does not text families. Coordinators can still tap Text on the lead.

  • Slack / TeamsComing soon

Chat-app delivery is on the roadmap. We will not paint a connected button until it ships.

Calendar

Google Calendar and Outlook, labeled honestly.

Consultation booking

The calendar families actually book into

Ava only offers office-hour slots. When a family picks one, it lands here — not in a mystery spreadsheet. Download an .ics for Google Calendar or Outlook today. Two-way sync is labeled coming soon on purpose.

  • FrontLineLove calendar

    Native

    Coming soon

Download an .ics today and open it in Google Calendar. Two-way sync is not live.

  • Outlook / Microsoft 365

    Coming soon

Same .ics download. We will not fake a Microsoft login.

Family chat · booking

I can book a 30-minute phone consultation during office hours. Tuesday 10:00 a.m. or Wednesday 2:00 p.m. Pacific — which works?

Tuesday 10:00 a.m.

You’re booked. A coordinator will use the number you shared. Add it to Google Calendar or Outlook from the confirmation on the desk.
